Create a luxurious, interactive wellness experience your guests will love. This guide walks you through setting up your essential oil roller bar—from unboxing to execution—with everything you need shipped directly to your venue.

Before diving into the nitty-gritty we want to make sure you have everything you need. Here is a list of everything we sent you for your oil bar:

Note* For 40 roller bottles, you’ll need approximately 13.2 oz of carrier oil. We’ve provided 16 oz, plenty of oil to cover this—along with extra to account for spills, generous pours, or creative blending. No need to measure perfectly—just pour, fill, and enjoy the experience.

Note* Each roller blend uses a maximum of 6 drops of essential oil (you can use up to 10 drops if using the pipettes which make smaller drops), and your kit includes enough oil to create 40 roller bottles with ease. You will need around 200 drops, but we have provided around 1,400, so your guests can get creative, you won’t have to worry about running out of any one oil, and you can account for any spills. The excess oil is yours to keep. Note* These oils are for external use ONLY. The event organizer can take these oils home and use them in diffusers, candles, household cleaners, and more! (Please note that if you have pets, some oils should be limited in the home.)
Setup Instructions
This is a step-by-step guide on how to set up your bath salt bar with some added context that we’ve learned over time but feel free to make any adjustments based on your event!
Step 1: Unpack + Organize
Unbox all supplies and sort by function: essential oils, carriers, bottles, tools, and print materials.
Place all signage (welcome, instructions, ingredient info) in frames or holders near the center of the station.
Step 2: Set Up the Flow
Arrange your table in the following order to ensure a smooth guest experience:
Grab a Bottle: Stack roller bottles near the front on the line on the provided wooden stand.
Engage with the Collateral: Set the instructions by the front of the line. Put the descriptions behind the oils so guests can smell and read at the same time to prevent as much line clogging as possible.
Pick a Recipe: Display recipe cards so guests can choose their desired blend. Set out a premade blend of each (provided).
Add Essential Oils: Set out the essential oils and mini pipettes/funnels. Remove the caps of one of each of the essential oils, pop out the dropper inserts, place on wooden stand and inset pipettes into the oils. Take off caps only and put them in a row in front of the open oils so guests can smell them without risking spilling them.
Top with Carrier Oil: Set out jojoba or coconut oil for guests to fill the remainder of their bottle. Place small glass bowl underneath the pump spout to catch any drips.
(Optional) Add Vitamin E: Set out for guests to use (option to either keep the cap on or use pipette, note that this is much thicker than the oils).
Cap + Roll: Show guests how to insert the roller ball and cap.
Label the Blend: Write the name of the recipe they chose (or made up!) on the label in the provided space.
Step 3: Guide the Experience
Assign a team member or volunteer to gently guide guests through the steps.
Encourage them to smell before selecting, blend mindfully, and enjoy the process.
Some guests will want to read all the information and know everything, others will want to just right into the recipes! Either way is fine, just make sure they take a quick peek at the safety information on the instruction cards.
Pro Tips for a Smooth Experience
Consider the Details:
Place paper towels or wipes on hand for spills.
If outdoors, weigh down signage and keep oils out of direct sunlight.
Provide trash containers for disposable pipettes or gloves.
Adjust For Crowds!
If the line gets too chaotic, consider putting educational materials on one table with cap-off-only oils and recipes on another with the pipettes directly in the oil. While this isn't the most condesnsed experience, we know that events require flexibility and quick thinking!
